1. Reservation Requirements

• All reservations must be made under guests’ names on passports.
• Bed-only reservations are not accepted; bookings must be made per room.
• Sharing a Room? If you are sharing a room with a colleague, only one person needs to complete the booking. Please ensure both names are included in the reservation.

2. Payment Policy

• Full payment is required to confirm the booking.
• To secure your reservation, the total amount must be paid in advance.
• Important: Reservations that are not fully paid by June 5, 2025 (24:00, Beijing Time) will not be guaranteed by the conference hotel.

3. Receipts

Hotel receipts are issued by Xi’an Kaili Conference and Exhibition Co., Ltd. If you need a receipt, please contact Ms. Ma Meng at mameng@kailimice.cn.

4. Cancellation & No-Show Policy

Cancellation Before June 5, 2025 (24:00, Beijing Time):

• A 4% cancellation fee will be deducted from the total room charge.
• The remaining amount will be refunded within 3 working days after processing the cancellation request.

Cancellation After June 5, 2025 (24:00, Beijing Time):

• No refunds will be issued, and the full room charge will be retained.
• No-shows or late cancellations are non-refundable.
